Shift Buddy ("we", "our", or "us") is an Australian-owned software product. We are committed to protecting your privacy and handling your personal information in accordance with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).

This Privacy Policy explains how we collect, use, store, and disclose your personal information when you use the Shift Buddy website (shift-buddy.com) and application (app.shift-buddy.com).

1. What Information We Collect

We collect information to provide and improve our timesheet and scheduling services. This includes:

  • Personal Information: Name, email address, and phone number.
  • Employment Data: Shift times, job assignments, and odometer readings.
  • Location Data: GPS coordinates. We only capture location data at the exact moment a user clocks on or clocks off. We do not track location continuously.
  • Media: Photos uploaded for odometer readings or client signatures.
  • Device Information: Standard web log information such as browser type, IP address, and access times.

2. How We Use Your Information

We use the collected information for the following purposes:

  • To provide the core functionality of the Shift Buddy app, including timesheet tracking, scheduling, and reporting.
  • To allow employers (admins) to manage and verify their employees' work hours and locations.
  • To maintain an audit log of edits and system actions.
  • To provide customer support and respond to inquiries.
  • To improve our platform and user experience.

3. Data Storage and Security

We take the security of your data seriously. Your information is stored on secure cloud infrastructure in the Asia-Pacific region. It is protected by AES-256 encryption at rest and TLS 1.2+ encryption in transit.

We implement row-level security in our database. This ensures that individual employees can only view their own data, while employers have access to the data of their respective employees.

4. Cross-Border Disclosure

Under the Australian Privacy Principles (APP 8), we are required to inform you about cross-border data flows. By using Shift Buddy, you consent to your data being processed and stored on servers located outside of Australia, specifically within the Asia-Pacific region. We ensure our cloud providers comply with strict security and privacy standards.

5. Data Retention

We retain employment records, including timesheets and related data, for a period of 7 years. This is to help employers comply with their record-keeping obligations under the Fair Work Act 2009.

6. Sharing Your Information

We do not sell your personal data to third parties. We do not use your data for advertising or marketing tracking.

Your data is shared only with:

  • Your employer (the account administrator) who manages your Shift Buddy account.
  • Our trusted service providers (such as our cloud hosting provider) who assist us in operating the platform, subject to strict confidentiality agreements.
  • Law enforcement or government agencies if required by law.

7. Your Rights and Choices

You have the right to request access to the personal information we hold about you. You can also request corrections if the information is inaccurate.

You may request the export or deletion of your data by contacting us. Please note that data deletion requests are subject to our legal retention requirements and the policies of your employer, who acts as the data controller.
